RecallStyle

Turn empty salon slots into booked appointments

A cancellation at 4 pm for a 6 pm slot is money that disappears unless someone fills it fast. Most salons post a story and hope. RecallStyle knows who is due, who lives nearby, who usually books that stylist at that hour, and asks them directly.

How can salons fill empty appointment slots?

The fastest way to fill an empty slot is to offer it to the few customers most likely to want it, rather than to everyone. That means people who are due for that service, who prefer that stylist, and who tend to book at that time of day. RecallStyle finds them from your own history, messages them with the exact slot on WhatsApp, and books the first one who says yes.

How RecallStyle does it

The actual workflow, in the order it runs. Nothing here depends on a person remembering to do it.

  1. 1

    An empty slot appears

A cancellation, a no-show, or a gap that was never booked. The calendar knows the stylist, the time and how long it is.

  2. 2

    Candidates are identified

Customers who are due or overdue for a service that fits the gap, who have booked this stylist before, and who usually come around this time of day.

  3. 3

    Candidates are prioritised by fit

Closest to due, strongest stylist preference, best match on time and day, and no recent message from us. A short list, not a broadcast.

  4. 4

    Availability is confirmed

The slot is checked again the moment before sending, so nobody is offered a time that has just been taken.

  5. 5

    The message is personalised

"Hi Neha, Vikram has an opening today at 6 for your usual cut. Want it?" One slot, one person, one question.

  6. 6

    Customers are contacted in order

The first few candidates are messaged. If nobody takes it within the window you set, the next group is asked. Broadcasting to the whole list is never the first move.

  7. 7

    Booking

The first yes books the slot and closes the offer for everyone else, with a polite note to anyone who replied late.

  8. 8

    Recovered revenue is counted

Every recovered slot is tracked with the service, the customer and the value, so you know what the routine is worth each month.

In the pilot

The calendar and customer history the routine depends on. Your team can see open gaps at a glance and message customers from the profile.

Next

Rebooking invites for customers who are due, which fills many gaps before they are urgent, and the AI receptionist to handle replies.

Later

Slot-specific recovery: ranked candidates, waves of personal offers, first-reply booking and the recovered revenue report.

Questions salon owners ask

Why not just post the empty slot on Instagram?

You can, and some salons do. It reaches whoever happens to be looking and usually attracts discount hunters. A direct message to three people who are due with that stylist reaches the right customers, keeps your price, and is far more likely to be taken within the hour.

How does RecallStyle decide who to ask first?

From your history. Someone who is overdue for exactly this service with exactly this stylist and usually books evenings is asked before someone who visited last week or prefers mornings. The ranking is shown to you, and you can change it.

Will customers feel pressured?

The message offers one slot and asks one question. No countdown, no discount pressure, and at most one such offer per customer in a period you set. Most customers read it as their salon remembering them.

Does this only work for cancellations?

No. It also fills quiet hours that were never booked, such as weekday afternoons. The same routine offers those gaps to customers whose preferences fit, a day or two ahead.

Can I use it with a discount?

You can attach an offer to a slot if you choose to, for example for a quiet weekday afternoon. It is not required, and the routine works without one because the message is relevant.

When is empty slot recovery available?

It is on the roadmap after the AI receptionist and automatic rebooking, which it builds on. Pilot salons get the calendar and customer history now, so the data the routine needs is already being collected.
