RecallStyle

Salon customer retention software that brings clients back

A salon's revenue comes mostly from people who have already visited. Keeping them is cheaper than finding new ones, yet most salons only notice a regular has gone when the chair has been quiet for months. RecallStyle keeps a record of every visit and acts on it before the customer drifts.

What is salon customer retention software?

Salon customer retention software keeps every customer's history in one place, works out how often each of them actually visits, and reaches out when they are due with a message that fits them: their usual service, their usual stylist and a real slot they can take in one reply. Retention is the outcome; the software's job is to make the next booking easier than forgetting.

How RecallStyle does it

The actual workflow, in the order it runs. Nothing here depends on a person remembering to do it.

  1. 1

    History builds itself

Every completed appointment records the customer, the services, the stylist and the spend. Notes from the chair are stored on the profile. Nothing to type after the visit.

  2. 2

The interval is learnt per customer

One regular comes every four weeks for a cut, another every ten weeks for colour. RecallStyle uses each person's own history, not a salon-wide average.

  3. 3

An expected next visit is set

From the interval and the last visit, each customer gets an expected date. As it approaches they appear in the "due soon" list; past it, in "overdue".

  4. 4

    Preferences are attached

Preferred stylist, usual services, usual day and time. The reminder is written from these, so it reads like a note from the salon rather than a campaign.

  5. 5

A personal reminder goes out with a slot

"Hi Priya, it has been about ten weeks since your colour with Sneha. She has Saturday at 11 or 4. Shall I hold one?" Sent on WhatsApp from your number.

  6. 6

    One reply books it

The customer answers with the time and the appointment is created on the calendar, confirmed and reminded like any other booking.

  7. 7

The completed visit adds new data

The interval refines, the preference record updates and the next expected visit is set. Each cycle makes the next reminder more accurate.

Questions salon owners ask

How can salons increase repeat bookings?

Three things move repeat bookings more than anything else: book the next visit before the customer leaves, remind them when they are due if you did not, and make the reminder easy to act on. RecallStyle does the second and third automatically and gives your team the list for the first.

What is the difference between salon CRM and salon booking software?

Booking software manages the calendar: who is coming, when, for what. A salon CRM manages the relationship: who this customer is, what they have had, when they are likely to return and how to reach them. RecallStyle is one system, so the CRM is filled by the calendar and the calendar is fed by the CRM.

How does RecallStyle know when a customer is due?

From that customer's own visits. If someone has come every 28 to 32 days for a year, the expected next visit is about four weeks after the last one. New customers use the typical interval for the service until they have history of their own.

Will my customers find automated reminders annoying?

A reminder that names their stylist, their usual service and a real slot on their usual day is a service, not a broadcast. Frequency is capped per customer, replies stop the sequence, and you approve every message until you decide a segment can run on its own.

Does this work for a single-chair salon?

Yes. A solo stylist has the most to gain: the software remembers what you do not have time to. Setup is your services, your hours and your existing customers, which we can import from a spreadsheet or your current software.

Which parts are available today?

Customer records, history and appointment reminders are in the pilot. Interval learning and personal rebooking reminders are the next release. Loyalty and campaigns come after that.
